HaulInbox

Privacy Policy

Last updated: October 14, 2026

HaulInbox puts a dispatcher’s driver chats and broker emails in one place. This policy explains what data the app handles, why, and how you can delete it. Last updated: October 14, 2026.

Who uses the app

Dispatchers and their companies (business users), and truck drivers invited by a dispatcher. The app is for business use and is not directed to children under 16.

Data we handle

Account: your email address and name from your sign-in (Google or email), your company and your role.

Gmail (dispatchers, only after you connect it): new emails in your connected Gmail inbox and sent folder that look like work mail (for example rate confirmations and replies in threads you already have in the app) — sender, recipients, subject, text and attachments. Newsletters, promotions and other mail filtered out by the app are not stored. Older emails from before you connected are not imported, except earlier messages of a thread that is already in the app.

Sending: the app sends an email from your Gmail only when you tap Send. It sends nothing on its own.

Driver chat: messages, photos and documents exchanged between dispatchers and drivers, and driver details a dispatcher enters (name, phone, truck and trailer number).

Telegram (drivers, only if a driver chooses to chat through our Telegram bot): the driver’s Telegram chat ID and the messages, photos and documents they send there, which go into the same chat with dispatch.

Team notes: notes dispatchers write for each other inside a conversation, and who was mentioned or assigned. Only your team sees them — they are never sent to brokers or shown to drivers.

Team settings: which broker email address or domain goes straight to which dispatcher, saved replies, and messages scheduled with “Send later” (kept until they are sent or canceled).

Reply times: how quickly each dispatcher answers brokers and drivers, calculated from message times. Company owners and admins can see these numbers for their team.

Shared inbox sorting log: for a company’s shared inbox, a short record of how each new email was sorted (sender, subject and the decision, for example “rate confirmation” or “offer, skipped”). The company owner and admins see it in the trial report. It is deleted after 30 days.

My loads (drivers): the load numbers, notes and messages a driver saves to their own list. Only that driver can see it, and it is deleted with the driver’s account.

Exports: when you tap “Export everything”, we create a zip file with the conversations you can already see in the app. The download link works for 7 days and the file is deleted after 7 days.

Device: a push notification token and the device platform, so we can deliver notifications. Your recent conversations are also saved on your phone so the app works without signal; they are removed from the phone when you sign out or delete your account.

Problem reports: what you write in “Report a problem”, and automatic error reports (error message, screen, platform and app version). They never include email or chat content.

Camera and photos: used only when you choose to take or attach a picture or document to send.

How we use it

Only to provide the app: show your conversations, send what you send, store documents, deliver notifications, keep the service secure and fix problems. We do not sell data, show ads, or track you across other apps or websites.

Google user data

HaulInbox’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Gmail data is used only to show and send your work email inside the app. It is not used for advertising, not sold, and not used to train AI models. People do not read it, except with your permission (for example when you ask for support), for security reasons, or when required by law.

Your Google access token is stored encrypted on our server and never on your phone. You can disconnect at any time by deleting your account or by removing the app’s access in your Google Account settings.

Who else processes data

Supabase (database, file storage and server functions; hosted in the EU, Ireland), Google (Gmail API, sign-in, Firebase Cloud Messaging for Android notifications), Apple (iPhone notifications) and Expo (notification delivery and the web version of the app). They process data only to run the service for us.

Telegram: only for drivers who choose to chat through Telegram — those messages pass through Telegram under Telegram’s own privacy policy.

Who can see what

Data is separated by company. Your personal Gmail conversations are visible only to you. Your company’s shared inbox is visible to your company’s dispatchers. Driver chats are visible to the driver’s dispatchers, to the company’s after-hours staff, and to the company owner and admins when they open them. A driver sees only their own chat with dispatch, never broker emails.

Security

Data is encrypted in transit. Access tokens are encrypted at rest. Every request is checked against your company and role on the server.

How long we keep data

Conversations and documents: while your account (or your company’s account) is active. Problem reports: 90 days. Shared inbox sorting log: 30 days. Exports: 7 days.

Deleting your data

You can delete your account in the app: dispatchers in Settings → Delete account, drivers in Account → Delete account. See “Delete your account” for exactly what is removed.

Changes

If we change how data is handled, we will update this page and the date above.
